First, information must be managed for security purposes: to ensure that proprietary information, client lists, accounting data, bank account information, and other sensitive data remains safe. Second, information management helps a small business run smoothly. When information is organized and managed well, the entire business will become more productive because less money and time will be spent on mundane activities. Third, information can be a resource in itself, even a source of profit. Especially if the business is based on information technology, managing information is absolutely essential.
The Internet and related communications technologies have a profound effect on how businesses run and how productive they can be. The Internet can be a tool for promotions and marketing, allowing the company to bring in extra revenue. Web presence is actually a must for all small businesses, as most clients will expect to be able to browse products and services online. Similarly, clients might search for our services online rather than using traditional means like phone books or relying on print advertisements. Another way the Internet changes the way small businesses operate is by transforming the nature of communications. E-mails, instant messaging, and online conferencing are highly efficient forms of communication that allow us to communicate with clients and suppliers. We can use e-mail to send newsletters or product promotions too.
Information technology can therefore improve productivity and performance in my business. The Internet can be used as a tool to bring in more clients and educate the public about our products and services. Many clients prefer to use the Internet and related communications like e-mail as a primary means of communication. Another way information technology can improve productivity and performance in my business is by using software applications for tasks like bookkeeping, inventory, payroll, and the creation of documents or even advertisements.
